BACKGROUND:
In September of 2020, after a competitive quoting process hosted by the Information Technology Department, the City retained Marion Music, Inc., to replace the existing audiovisual equipment in Council Chambers with a more modern and capable system. Marion Music, Inc., a local vendor, was found to be the lowest responsive vendor. Expenditures for the system replacement project totaled $46,886.
FINDINGS AND CONCLUSIONS:
It will be necessary to make additional improvements and provide for future maintenance and repair for the system to continue to meet operational expectations. The revised not-to-exceed amount includes amounts from the system replacement project ($46,886) plus sums for additional equipment orders ($7,100) and estimated costs for future maintenance, repair and improvements ($31,014).
FISCAL IMPACT:
Budget for these expenditures is available using GL accounts 001-035-603-516-66-64010, 001-035-530-516-51-46010, 001-012-210-512-51-31010, 001-012-011-511-51-46010 under Contract#: ITS/200759.
PROCUREMENT REVIEW:
These services were procured in accordance with the City’s Procurement Policy.
LEGAL REVIEW:
N/A. The terms and conditions set forth on the City’s standard purchase order shall govern the purchase of these goods and services.
