BACKGROUND:

The City has an ongoing need for pool pumping equipment maintenance and support services for the Hampton Aquatic Fun Center, Jervey Gantt Aquatic Fun Center, and Lily's Pad Splashpad.

On October 23, 2018, the City awarded Contract No.: REC/18-143 for the provision of commercial pool pump service and repairs to Pitsch Plumbing Service, Inc., with an estimated aggregate expenditure amount of $25,000 for the initial term. The contract award was for an initial term of three years and offered two additional one-year renewal terms. Contract No.: REC/18-143 is currently in its second and final renewal term and will expire on October 14, 2023.

FINDINGS AND CONCLUSIONS:

In late-May 2023, the six-year-old main pump at Lily's Splashpad failed after a major thunderstorm and required replacement. Repairing the pump was not a feasible option due to supply chain disruptions. Pitsch Plumbing Service, Inc., was able to source and install a new replacement Pentair 10-hp 3 phase pump in early June 2023 at a total cost of $8,014.29.

Since contract inception, pumping equipment maintenance and support service expenditures have totaled $64,749.31. Staff requests authorization to increase the contract expenditure threshold by an additional $13,250.69 to provide for maintenance and support service purchases that are currently necessary, or which may occur emergently, for either Aquatic Fun Center and/or Lily's Splashpad through the end of the final renewal term.
