BACKGROUND:

Staff is requesting to renew the software maintenance agreement for Trakit for an additional year from June 1, 2022, to May 31, 2023. The renewal is necessary since Growth Management and Engineering are still using a portion of Trakit. Growth Management and IT Departments will be completing the migration from Trakit to GovSense in the summer of 2022. Engineering will also migrate to either GovSense or ePlans during this next year.

 

FINDINGS AND CONCLUSIONS:

The Trakit annual renewal fee includes system maintenance, support, enhancements, and new releases. The additional year of maintenance and support will allow staff the time to make sure all the data from Trakit was correctly imported into GovSense.   

 

FISCAL IMPACT:

Recurring support, maintenance, and license fees are required. Staff is requesting permission to pay for the yearly estimated maintenance of $45,000 for one year. This expenditure is budgeted in 001-035-530-516-51-46010/001-016-061-524-68-68010.

 

PROCUREMENT REVIEW:

The renewal complies with the City’s procurement policy.

 

LEGAL REVIEW:

Direct purchase renewal. No formal written contract is necessary.
