BACKGROUND:
The Ocala Police Department (OPD) has been using VMWare as its core software to virtualize its servers and desktops for over 10 years. VMWare eliminates the need for physical equipment for each service, thereby reducing costs. Instead, virtual computers can be used, which reduces electricity consumption, heating requirements, and staff management.
FINDINGS AND CONCLUSIONS:
Renewing OPD's annual VMware maintenance and support contract sustains operational excellence by reducing hardware needs, lowering energy and cooling costs, and enabling efficient IT resource management. For over a decade, VMware has delivered cost savings, environmental benefits, and reliable support for daily operations, helping OPD adapt to evolving technology while protecting both budget and efficiency.
As a political subdivision of the state of Florida, the City of Ocala qualifies as an eligible user of
Sourcewell cooperative purchasing agreements. Sourcewell agreements have been competitively
solicited by governmental agencies and evaluated and determined by the Procurement and Contracting Officer to be cost-effective and to afford best value. Sourcewell Contract No.
121923-SHI, is effective for a four-year term through February 27, 2028.
Staff recommends approval.
FISCAL IMPACT:
Funding for this contract renewal will be provided by the Fiscal Year 2025-26 Ocala Police Department budget in account 001-018-811-521-52-52050. This will be tracked under contract number 250957.
