BACKGROUND:

The Ocala Police Department has been utilizing Graykey since 2018. The software aids in the collection of digital evidence to allow data to be forensically analyzed. The software is one of the tools that digital forensic technicians use to process search warrants on computers, phones, tablets, and other electronic devices.

FINDINGS AND CONCLUSIONS:

This software renewal is imperative to ensure that the Ocala Police Department has the current licensing and support for the Graykey software system. There are updates to electronic devices as often as daily and to ensure we are meeting evidentiary requirements; we need to ensure this system is technologically supported.

On May 24, 2018, the City advertised Sole Source Posting (SSP) No. SSP-166 for GrayKey software.  SSP-166 closed on June 6, 2018, yielding no objection from any other vendors.  Grayshift, LLC, is the sole distributor for GrayKey in the state of Florida. 

FISCAL IMPACT:

Funding for this renewal is budgeted in the expenditure account 001-018-811-521-52-52050. This purchase will be tracked by Munis contract number 240964.

PROCUREMENT REVIEW:

These goods and services were procured in compliance with the City’s Procurement Policy.
