BACKGROUND:

The Fleet Department manages fuel for all City of Ocala (City) vehicles and equipment. Procuring a contract for bulk fuel deliveries allows the City to purchase fuel at wholesale rates. On March 10, 2023, the City of Ocala and Marion County Public Schools (“School Board”) issued a joint solicitation, Bid No. 3980GM, to obtain better pricing from vendors.

 

FINDINGS AND CONCLUSIONS:

On June 6, 2023, City Council approved the City’s award of Contract No. FLT/230544 to Petroleum Traders Corporation for gasoline and diesel supply and transport services for an initial thirteen-month term beginning May 30, 2023, and ending June 30, 2024. 

On April 22, 2024, Petroleum Traders Corporation agreed to renew contracts with the City and the School Board under the same terms, conditions and pricing set forth in the Original Agreement.  The School Board approved its one-year renewal on May 28, 2024. 

The renewal term is July 1, 2024, through June 30, 2025.  This bulk fuel contract will save the City an estimated $371,960 annually over retail costs. Staff is satisfied with the performance of Petroleum Traders and recommends the renewal of this contract.

 

FISCAL IMPACT:

Funding for fuel is included in departmental budgets and will be budgeted likewise in subsequent fiscal years.

 

PROCUREMENT REVIEW:

These goods and services were procured in compliance with the City’s Procurement Policy. 

 

LEGAL REVIEW:

This First Amendment will be reviewed and approved for form and legality by City Attorney, William E. Sexton.
