BACKGROUND:
For the efficient maintenance and repair of the City's vehicles and equipment, Fleet Management utilizes a vendor-managed inventory consignment system. This entails local automotive parts suppliers maintaining critical stock within the Fleet's parts room under consignment agreements, thereby ensuring immediate parts accessibility, optimizing operational readiness, and eliminating parts obsolescence.

FINDINGS AND CONCLUSIONS:
On November 3, 2021, the City of Ocala issued Invitation to Bid (ITB) No.: FLT/210911, soliciting proposals for the provision of agricultural and landscaping equipment parts to be maintained on consignment at the City's Fleet Management Parts Room. The City received one (1) response from EFE, Inc., who was determined to be responsive and acceptable. The awarded contract was for a three-year term commencing January 1, 2022, and ending December 31, 2025, with two optional one-year renewal terms.
On January 25, 2022, the parties amended the contract to increase the aggregate compensation value for the initial term from $28,107.78 to $50,000. Since that time expenditures under Contract No. FLT/210911 have totaled $49,419. Due to the City's ongoing operational need for agricultural parts, Fleet staff anticipates that additional funding of $25,000 is required to effectively cover anticipated expenditures for the remainder of the initial contract term, which concludes on December 31, 2025.
