BACKGROUND:
Multiple departments utilize the citywide tree trimming and removal services. This contract provides for year-round tree trimming and removal on City properties and rights-of-way throughout the City to ensure an acceptable appearance, facilitate coexistence with infrastructure, and minimize liability from diseased and unhealthy trees.
In order to ensure the most responsive service and best value possible, the City has historically utilized two vendors for the provision of citywide tree trimming and removal services. For scheduled, non-emergency work, staff will obtain quotes from both vendors, with the lowest available vendor being awarded the job. For emergency work, staff will rotate between both vendors.
FINDINGS AND CONCLUSIONS:
On February 15, 2024, Invitation to Bid (ITB) No.: PWD/240344 was released to the public and three (3) vendors responded. One bidder was rejected for not attending the mandatory pre-bid meeting. Marion Tree Trimming & Stump Removal and Flyway Access, LLC d/b/a Conrad Tree Services were the two lowest responsive and responsible vendors. The bid results are as follows:
Staff recommends approval of the contracts with Marion Tree Trimming & Stump Removal and Flyway Access, LLC d/b/a Conrad Tree Services for a two-year term beginning April 20, 2024, and continuing through April 19, 2026, each with an option for up to two (2) one-year renewals.
FISCAL IMPACT:
Each department has its budget for these services when needed and approved by its director.
PROCUREMENT REVIEW:
These services were procured in compliance with the City’s Procurement Policy.
LEGAL REVIEW:
This Agreement will be reviewed and approved for form and legality by City Attorney, William E. Sexton.
