BACKGROUND:

The Fleet Department manages approximately 925,000 gallons of fuel annually for City vehicles and equipment. Procuring a contract for bulk gasoline and diesel fuel deliveries at wholesale prices provides significant savings over retail rates.

On March 10, 2023, the City of Ocala and Marion County Public Schools (“School Board”) issued a joint solicitation, Bid No. 3980GM, to obtain better pricing from vendors.  On June 6, 2023, City Council approved the award of Contract No. FLT/230544 to Petroleum Traders Corporation for gasoline and diesel supply services for an initial thirteen-month term beginning May 30, 2023, and ending June 30, 2024.

 

FINDINGS AND CONCLUSIONS:

On August 6, 2024, City Council approved the first one-year renewal of Contract No. FLT/230544 to Petroleum Traders Corporation for gasoline and diesel supply and transport services beginning July 1, 2024, and ending June 30, 2025.

On April 14, 2025, Petroleum Traders Corporation agreed to renew contracts with the City and the School Board under the same terms, conditions, and pricing outlined in the Original Agreement. The School Board approved its second one-year renewal on May 12, 2025.

The contract renewal term is July 1, 2025, through June 30, 2026. Staff is satisfied with the performance of Petroleum Traders and recommends the renewal of this contract.

 

FISCAL IMPACT:

Funding for fuel is included in departmental budgets and will be budgeted likewise in the subsequent fiscal year.

 

PROCUREMENT REVIEW:

These goods were procured in compliance with the City’s Procurement Policy.

 

LEGAL REVIEW:

This Amendment will be reviewed and approved for form and legality by City Attorney, William E. Sexton.
