BACKGROUND:
The City of Ocala (City) has a continuing need for qualified electrical contractors to provide repair and installation services on an as-needed basis for its facilities. Request for Quotation (RFQ) No.: FAC/220859 was issued on October 17, 2022, inviting bids for electrical repair and installation services. After a competitive bidding process, Chuck’s Stokes Electric of Central Florida, Inc. (Stokes Electric) was identified as the lowest responsive and responsible bidder. The initial contract term was for two years with two optional one-year renewals.
On October 17, 2023, City Council approved an additional $100,000 in expenditures for generator installations and ongoing electrical repairs. On July 14, 2024, the City approved an additional $50,000 to cover additional anticipated expenditures for the remainder of the contract term ending December 6, 2024.
FINDINGS AND CONCLUSIONS:
On September 23, 2024, Stokes Electric agreed to renew contract FAC/220859 under the same terms, conditions, and pricing set forth in the original agreement for the term commencing December 7, 2024, through December 6, 2025.
Since contract inception, expenditures under FAC/220859 have totaled $237,226.83. Staff anticipates that for this renewal an allocation of $200,000 is necessary to effectively cover projects and repairs approved for Fiscal Year 2024-25.
FISCAL IMPACT:
Funding of $125,000 is available in the Fiscal Year 2024-25 budget account 001-026-601-519-51-46010 - Facilities CIP Repair and Maintenance and the remaining $75,000 is available in the Fiscal Year 2024-25 budget account 001-026-321-519-51-46010 - Facilities Repair and Maintenance.
