BACKGROUND:

City Departments utilize Motorola radio equipment for various internal communication purposes. First responders use this equipment to communicate with the 9-1-1 Communications Center. Motorola products have performed reliably, and City employees trust their consistency.

Motorola radio equipment contains complex proprietary hardware and software components.  As such, Motorola recommends all modifications or enhancements to hardware or software be provided by Motorola directly or an authorized Motorola Partner.  Tri-Co Communications, Inc., is an authorized Motorola Partner located in Ocala, Florida, with availability to perform required maintenance and repair of Motorola equipment. 

FINDINGS AND CONCLUSIONS:

Tri-Co Communications, Inc., provided the City of Ocala with Motorola priority service, unlimited service calls, annual FCC preventative maintenance testing, and coverage on all parts and labor for the period 2019 - 2024 under Subscriber Service Agreement No. 1442-2019-R01, City of Ocala Contract No. OPD/190827. 

Ocala Police Department requests approval to continue working with Tri-Co Communications, Inc., for repair, parts, and programming for the period October 1, 2024 through September 30, 2030, under a renewed subscriber services agreement (TSA).  The total equipment covered by the renewed TSA will be approximately 745 Portable radios and 561 mobile radios, as well as the required reprogramming/yearly updates for this equipment. 

Continuous service and support is required for all City radio equipment. All departments utilize this agreement yearly to ensure that our portable and mobile radio equipment is as up-to-date and functional as possible. 

FISCAL IMPACT:

Funding for this purchase was approved as part of the Fiscal Year 2024-25 annual budget and $112,970 is budgeted in the expenditure account 001-086-860-529-52-46010. Future year expenses will be budgeted accordingly. This purchase will be tracked by Munis contract number 250290.

 

PROCUREMENT REVIEW:

These goods and services were procured in compliance with the City’s Procurement Policy. 

 

LEGAL REVIEW:

This Agreement will be reviewed and approved for form and legality by City Attorney, William E. Sexton.
