BACKGROUND:

The Fleet Department oversees the management of approximately 925,000 gallons of fuel annually for City vehicles and equipment. To optimize expenditures, staff secured a contract for bulk gasoline and diesel deliveries at wholesale rates, which led to significant cost savings relative to retail pricing.

 

On March 10, 2023, the City of Ocala, in collaboration with Marion County Public Schools (“School Board”), issued a joint solicitation (Bid No. 3980GM) to secure more favorable vendor pricing. Subsequently, on June 6, 2023, City Council authorized Munis Contract No. FLT/230544 with Petroleum Traders Corporation for gasoline and diesel supply services, establishing an initial thirteen-month term from May 30, 2023, through June 30, 2024, with an amount not to exceed $2,500,000.

 

On August 6, 2024, City Council approved the first one-year renewal of Munis Contract No. FLT/230544 with Petroleum Traders Corporation for continued gasoline and diesel supply and transport services, extending the contract term from July 1, 2024, to June 30, 2025, with an amount not to exceed $2,500,000.

 

On August 5, 2025, City Council approved the second one-year renewal with Petroleum Traders Corporation, effective from July 1, 2025, through June 30, 2026, with an amount not to exceed $2,500,000.

 

FINDINGS AND CONCLUSIONS:

On April 22, 2026, Petroleum Traders Corporation agreed to a one-year renewal with the City and School Board, maintaining the original contract terms, conditions, and pricing. The renewal runs from July 1, 2026, to June 30, 2027. Staff recommends approving the contract, as performance has met expectations.

 

FISCAL IMPACT:

Funding for fuel is included in departmental budgets and will be budgeted likewise in the subsequent fiscal year.

These goods were procured in compliance with the City’s procurement policy.

This amendment will be reviewed and approved for form and legality by City Attorney, William E. Sexton.
