BACKGROUND:
In 2007, the City standardized the use of VMWare virtualization software to operate its virtual server network.
The virtualization technology offered by VMware plays a pivotal role in enhancing the City’s IT infrastructure by reducing hardware expenses, bolstering scalability, and fortifying disaster recovery capabilities. By allowing multiple virtual machines to run on a single physical server, VMware enables better resource utilization and easier management of IT resources.
All City data and applications are housed on these servers, and they are critical in the continued operations for all City departments.
As a political subdivision of the state of Florida, the City of Ocala qualifies as an eligible user of Florida Department of Management Services (DMS) alternate contract source (ACS) agreements under Rule 60A-1.001, Florida Administrative Code. ACS agreements have been competitively solicited by governmental agencies and evaluated and determined by the Florida Secretary of Management Services to be cost-effective and to afford best value. DMS's ACS Agreement for Software Value Added Reseller (SVAR) Services, Alternate Contract Source (ACS) No. 43230000-23-NASPO-ACS, is effective for a four-year term commencing March 21, 2023, and ending April 24, 2027.
FINDINGS AND CONCLUSIONS:
The goods quoted by SHI International on Quotation# 24707030 in the amount of $302,585.16 will provide licenses for the City’s continued use of its VMWare software throughout the next three years, ending on April 30, 2027. This includes any support and maintenance costs associated with the operation of the software during that time.
FISCAL IMPACT:
This contract will cover funds from Fiscal Year 2024-25 through Fiscal Year 2026-27. The $100,862 funding amount for each year of the agreement will be budgeted in account #001-035-530-516-51-52050 under Contract #ITS/240556.
