BACKGROUND:

The Public Works Streets Division is responsible for mowing city-maintained rights-of-way, medians, parcels, city-owned lots, and other designated areas in the city's southern half.  The areas are mowed based on a set number of monthly cuts for each month of the calendar year.  This scheduled mowing ensures an acceptable appearance and contributes to the longevity of our road network.  Public Works does not have personnel to complete these services.

 

FINDINGS AND CONCLUSIONS:

On November 4, 2022, the City of Ocala issued Invitation to Bid (“ITB”) No.: PWD/220817 for south section grounds maintenance services.  Three bids were received, and Extreme Enterprises of Marion County, Inc., was found to be the most responsive and responsible bidder.  On January 17, 2023, the City Council approved the award of a two-year contract for mowing services to Extreme Enterprises of Marion County, Inc., with an option for two one-year renewals.  On January 5, 2024, a First Amendment to the agreement was approved to modify vendor contact information and the locations to be serviced.  On April 11, 2024, the Second Amendment was approved to further modify the locations to be serviced. On December 17, 2024, the Third Amendment was approved to exercise the first of two one-year renewals.

Staff recommends approval of the Fourth Amendment to exercise the last of the two one-year renewals available under the Agreement with Extreme Enterprises of Marion County, Inc. for the period January 18, 2026, through January 17, 2027.  The original pricing remains the same, although some locations have been added/modified since the original contract was executed.

 

 

FISCAL IMPACT:

Funding for this contract is budgeted in account 158-023-430-538-53-34010 for Fiscal Year 2025-26 in the amount of $126,702, and $42,234 will be budgeted in Fiscal Year 2026-27. Funding for this contract is budgeted in account 490-031-290-539-53-34010 for Fiscal Year 2025-26 in the amount of $1,463, and $488 will be budgeted in Fiscal Year 2026-27.
