BACKGROUND:
On November 17, 2021, Request for Quote (the “RFQ”) REC/211044 for industrial design and metal fabrication services for cultural arts was released. Two bids were received on December 17, 2021. The RFQ tabulation is shown below:

The lowest responsive bidder, Zeak Technique, Inc., was awarded a three-year contract with a maximum limiting amount of $50,000. The term of the agreement is from February 1, 2022, to January 31, 2025, with two one-year renewal terms.
Annual service needs for this contract have exceeded the original contract amount of $50,000. According to current and projected budgeted projects and an annual assessment of amounts for FY22, the contract amount needs to be increased by $250,000 for the initial three-year term for a total contract value of $300,000.
FINDINGS AND CONCLUSIONS:
• The contract amount needs to be increased in accordance with the annual service amounts being utilized for various projects and repairs.
• Staff is satisfied with the services provided by Zeak Technique, Inc. and finds the increase of the contract beneficial to ensure the reliable operation of design and metal fabrication services on the various budgeted projects forecasted for the department through 2025.
• Due to rising expenses of manufacturing raw materials, products, and services the Recreation and Parks Department is requesting that City Council approve the agenda item to increase the contract amount by $250,000 for the current agreement period through a formal amendment to the contract.
FISCAL IMPACT:
Design and metal fabrication services are included in overall Capital Improvement Project requests through the budget process. Repairs are covered under public art maintenance. Expenses will be appropriated to the account associated with that project.
PROCUREMENT REVIEW:
These services were originally procured in accordance with the City’s Procurement Policy.
LEGAL REVIEW:
The First Amendment will be reviewed and approved for form and legality by the City Attorney, Robert W. Batsel, Jr.
