BACKGROUND:
The City of Ocala's Facilities Management Department maintains heating, ventilation, and air conditioning (HVAC) systems in City-owned buildings to provide a safe, reliable, and comfortable environment. To supplement these efforts, an HVAC contractor is needed for additional installation, maintenance, and repair services.
FINDINGS AND CONCLUSIONS:
On June 6, 2025, City Council approved the award of an agreement for as-needed HVAC repair and installation services to Sherman Mechanical Contractors, Munis Contract No. FAC/250553. The two-year agreement was established with an initial aggregate expenditure threshold of $150,000.
Since the contract’s inception, expenditures under FAC/250553 have totaled $96,232, leaving a remaining balance of $53,768. A number of the City’s HVAC units require significant repairs or replacement due to age and wear. Facilities staff anticipates that an additional allocation of $150,000 will be necessary to address the existing repair needs for the remainder of the initial contract term through June 17, 2027. With this amendment, the total aggregate expenditure for the contract will increase to $300,000.
Staff recommends approval of additional expenditures in the amount of $150,000 under the agreement with Sherman Mechanical Contractors for HVAC repairs and installation services.
FISCAL IMPACT:
Funding will be allocated to the respective departments' Facilities CIP Repair & Maintenance account.
PROCUREMENT REVIEW:
These services were procured in compliance with the City’s Procurement Policy.
LEGAL REVIEW:
This amendment will be reviewed and approved for form and legality by City Attorney, William E. Sexton.
