BACKGROUND:
The Fleet Management Department maintains and repairs a fleet of approximately 2,000 vehicles and equipment. Premium high-quality oils and lubricants enhance engine performance, improve reliability, and maximize the life of the equipment. A vendor is needed to supply bulk quantities of synthetic-based oils and lubricants to maintain the City’s fleet of vehicles and equipment.
On October 23, 2022, the City entered into an agreement with Palmdale Oil Company, Inc. to supply and deliver bulk premium high-performance engine oil. The agreement had an initial term of three years, ending on October 18, 2025. This contract is established and managed under Munis Contract No. FLT/220699.
FINDINGS AND CONCLUSIONS:
Palmdale Oil Company, Inc. has satisfactorily supplied bulk premium high-performance engine oil during the initial contract term. Fleet Management staff has requested the option to utilize the first one-year renewal in accordance with the terms of the original agreement. Palmdale Oil Company, Inc. has agreed to extend the contract under the original terms, conditions, and pricing. The renewal period will commence on October 19, 2025, and will conclude on October 18, 2026. Fleet Management anticipates that aggregate expenditure under Contract No. FLT/220699 will total $175,000 for the renewal term.
Staff recommends renewing Contract No. FLT/220699 with Palmdale Oil Company.
FISCAL IMPACT:
Funding for this contract is available in the Fleet Management Department’s Operating Supplies account 001-025-523-519-51-52010.
PROCUREMENT REVIEW:
These goods were procured in compliance with the City’s Procurement Policy.
