body

BACKGROUND:

The City of Ocala Facilities Management Department maintains approximately 220 overhead doors throughout various City locations. The ongoing requirement for dependable, affordable preventative maintenance and repair solutions necessitated the contracting of these services.

FINDINGS AND CONCLUSIONS:

In response to this demand, the City issued an Invitation to Bid (ITB) No.: FAC/230065 on November 30, 2022.  The invitation sought vendors qualified to provide overhead door preventative maintenance, repair, and replacement services.  Contract FAC/230065 was awarded to C & D Industrial Maintenance, LLC under a two-year contract.

Contract FAC/230065 has incurred expenditures totaling $48,919.  Recognizing the increase in commodity costs, Facilities staff anticipates needing additional funding of $50,000.  This projected increase will ensure staff can effectively cover the anticipated expenditures for the remainder of the initial contract and maintain the operational efficiency of the City’s buildings until the contract’s conclusion on January 17, 2025.

FISCAL IMPACT:

Funding for the additional expense is available in the Fiscal Year 2024 budget account #001-026-321-519-51-46010-Repair and Maintenance.

PROCUREMENT REVIEW:

These services were procured in compliance with the City’s Procurement Policy.

LEGAL REVIEW:

This Agreement will be reviewed and approved for form and legality by City Attorney, William E. Sexton.
