OCALA’S RELEVANT STRATEGIC GOALS:

Operational Excellence

BACKGROUND:

The City of Ocala manages a fleet of approximately 1,750 vehicles, including but not limited to cars, light trucks, and Class 8 heavy-duty trucks. Annually, over 1,200 tires require repair or replacement for the vehicles used by various City departments.

FINDINGS AND CONCLUSIONS:

On April 2, 2019, City Council approved the utilization of State of Florida Alternate Source Agreement No. 25172500-19-ACS for as-needed purchases of tires, tubes, and related services from Advanced Tire, an authorized reseller, up to an aggregate cost of  $184,000, annually.   The initial contract term under 25172500-19-ACS commenced April 1, 2019, and concluded on March 31, 2024.

On February 9, 2024, the underlying awarding agency approved a 90-day contract extension through June 30, 2024. During the initial five-year term, the City’s annual expenditures under 25172500-19-ACS have averaged $179,791.  Recognizing these costs, Fleet staff anticipates that an additional $65,000 in contract expenditure authorization is necessary to ensure the City can effectively cover anticipated expenditures through June 30, 2024.

FISCAL IMPACT:

Funding is available in the Fleet Repair & Maintenance account 001-025-523-519-51-46010.  These expenditures will continue to be tracked under Munis Contract No. FLT/190220.

PROCUREMENT REVIEW:

These goods were procured in compliance with the City’s Procurement Policy.
